Inside a run sheet: how group programmes stay on time

Behind every effortless corporate programme is a detailed run sheet. Agencies may rarely see this working document, yet it is what keeps each supplier, vehicle and host aligned throughout the day.
Timings reflect the pace of the whole group
A lobby call at 08:30 may mean the coach leaves at 08:50. With 24 guests, a sensible margin is essential. We build that time into every transition and share only the timings guests need to know.
Every service has a named contact
The plan specifies the vehicle registration, driver, staging point, guide and contact details. That clarity makes it possible to resolve questions quickly and prevent small delays from affecting the programme.
Arrivals are a project of their own
Three flights, two terminals and one welcome dinner require a plan of their own. Each arrival is assigned to the appropriate transfer, flights are monitored live and the response to a delay is defined in advance: who waits, who departs and how the late arrivals rejoin the programme.
There is always a written plan B
If dinner is planned on a terrace and rain is forecast, the indoor alternative should already be reserved. The deadline for the final decision is recorded as part of the plan.
